ACT Annual Conference 2024 | Sponsor & Exhibitor FAQs

Thank you for your interest in participating at the ACT Annual Conference 2024. Below is a summary of this year’s conference passes along with information to help with your planning for the event should you confirm your booking.

Conference passes (new for this year)

Q: What pass types are available this year?

A: We have made some changes to the types and number of conference passes which are included in this year’s packages. Please refer to the sponsorship brochure for details on your pass allocation based on your stand size. The new pass types are as follows:

  • Free corporate client passes - You will receive a set number of free corporate client passes as part of your package. These passes grant access to the exhibition hall and conference sessions ONLY. If pass holders wish to attend the networking dinner, a dinner pass will have to be purchased (see below).
  • Sponsor delegate passes – You will receive a set number of sponsor delegate passes as part of your package. These passes grant access to the exhibition hall, conference sessions and networking dinner.
  • Exhibitor passes – If you require more passes for your exhibition stand, you can purchase exhibitor passes which will grant access to the exhibition hall ONLY. These passes are priced at £300 + VAT (each). The maximum number of passes which can be purchased at this price is the same as the number of sponsor delegate passes which are included in your package. Please note that access to the networking dinner IS NOT included with these passes. If pass holders wish to attend the networking dinner, a dinner pass will have to be purchased (see below).  
  • Additional exhibitor passes – If you wish to go above your allocation of chargeable exhibitor passes, any additional exhibitor passes will be priced at £850 + VAT (each). Please note that access to the networking dinner IS NOT included with these passes. If pass holders wish to attend the networking dinner, a dinner pass will have to be purchased (see below).
  • Networking dinner passes – Standalone passes for the networking dinner are priced at £250 + VAT (each). 
    • Clients – Free corporate client pass holders will be able to purchase their own dinner passes via the conference website. Alternatively, you can purchase client dinner passes on their behalf.
    • Exhibitors – Exhibitor pass holders will have the opportunity to purchase dinner passes via the conference website two weeks prior to the conference. 

All bookings (both staff and client) will need to be made via the conference booking page. Personalised booking codes will be shared with you alongside the exhibitor manual. 

Q: A member of our team will just be setting up our stand – will they need a pass?

A: Any of your events/marketing team who are on site purley to set up/break down your stand can pick up a dedicated pass at the event. Please let us know how many passes you will need. 

Next steps

Q: I have submitted my signed and completed order form. What do I need to do next?

A: Once we have received your order form we will share a countersigned form with you to confirm your participation in this year’s conference.

So that we can officially acknowledge your organisation as sponsors or exhibitors, please email us your company logo in both jpg and eps formats for the conference app and website.

Q: When do I need to pay for my stand?

A: We will send you an invoice and require full payment of all invoices within 21 days of receipt. All invoices must be settled ahead of the conference to guarantee entry. We accept payment by bank transfer, credit card and cheque.

Q: When will I receive more information regarding logistics?

A: A link to next year’s online exhibitor manual will be shared directly with your key event contact in early 2024. The manual will feature the event timetable and information on topics such as deliveries, catering, furniture hire and internet access.

Your exhibition stand

Q: When can we set up and break down our stand?

A: The exhibition at the ACC Liverpool will be open for set-up on Sunday 19 and Monday 20 May, and for breakdown following the afternoon break on Wednesday 11 May. More detailed information on timings and building regulations can be found in the exhibitor manual.

Q: Can I serve food or drink on my stand?

A: All food and drink must be agreed in advance with the official conference caterers, whose details will be included in the exhibitor manual. All exhibitors may only serve alcohol from their stands during the official drinks reception. More information on this will be available in the exhibitor manual.

Q: I’m planning on having an attraction on my stand, will I need permission?

A: Please contact us to discuss further.

Other information 

Q: What if I have questions about my sponsored session?

A: Please contact us for any information on the conference programme. 

Q: When will I receive a list of attendees? Will this include contact details? 

A: We will email a delegate list to all exhibitors two weeks out and then again one week before the event. This list will include names, job titles and company names. 

Q: Will there be a Networking Dinner at the 2024 event?

A: On the evening of day one of the conference, there will be a drinks reception in the exhibition hall followed by a networking dinner at Liverpool Cathedral. We will be in touch in due course with more information on this. Please note that access to the dinner is not included in all pass types. 

Q: Will there be a conference app?

A: We will again be using an app before and throughout the event – this will allow attendees to plan their schedule, network with delegates and ask questions during sessions. The app will include a sponsor and exhibitor page featuring each company’s profile and logo. App instructions and deadlines will be shared via the exhibitor manual.
